Email Customizable Customer Statements and Vendor Remittances with drill-down facilities directly from Microsoft Dynamics GP
Available on eEnterprise and Dynamics for SQL, Active Documents allows you to email Customer Statements and Vendor Remittance Advices with drill-down capabilities, directly from Microsoft Dynamics GP. Now your customers and vendors will be able to use invoice processing automation to receive these time-saving documents almost immediately, and in a flexible format that will allow detailed on-screen analysis and investigation. The result: all the advantages of electronic invoice processing over paper invoicing with less time spent on the administration of these essential functions and possibly even a reduced amount of debtor days. Accounts payable and accounts receivable reports are more accurate and produced in a more timely fashion, allowing better internal control.

| Fully customizable settings are available for both Customer Statements and Vendor Remittance Advices through Active Documents Setup

Setup of the Statements and Remittance Advices really is as easy as it sounds, allowing you to take advantage of our superb payment processing and remittance technology! Create as many different Statement Profiles or designs as you like, incorporating a variety of messages and styles relating to all, or even individual customer accounts. Additional settings include the ability to attach a link to a corporate image or logo and a website location.
A “Free Text” banner can also be completed to communicate further information that may be useful and interesting to your customers. Finally, mark the checkboxes at the bottom of the screen to include additional transaction detail and company information pages, such as Finance Terms, Period Balances and Contact information.
Another key feature of using Active Documents is that it is possible to build a standard email message within the Statement setup window. This message will then be used to accompany any outstanding balance details being emailed directly to your customers. Choose between a variety of different Salutation fields and names, or alternatively create your own with the “Your Text Choice” options available. A full preview of how the document will appear can also be run from the setup window.
Active Document Statements can be sent directly to your customers, by either building or recalling a Statement ID through the standard routine in Microsoft Dynamics GP. The option to send these documents via email will be available from the “Extras” menu shown on the task bar. Once selected, this Email Statements window will display all Customer IDs included in the Statement run and also email addresses where these have been recorded within Microsoft Dynamics GP. It is also possible to add or amend email addresses quickly and easily if required.
Finally, it is then down to you to decide which customers will receive these documents via email, by simply marking the checkboxes next to the relevant email address and clicking the “Send” button. A report listing who the documents were sent to is also available immediately after emailing the documents, or at a later date through the Active Documents reporting option.

In addition to the new email setup options that have been added at the card record level for both vendors and customers you are also able to modify whom the documents are to be sent to directly from the Active Documents mailer windows. This can be achieved by simply marking or unmarking the appropriate email checkboxes and clicking the "Send" button. This makes Active Documents an essential piece of functionality when copy documents are required urgently.
The unique transaction drill-downs are a key feature within all Active Documents attachments. Within the Statement and Remittance documents you will be able to zoom to view more detailed information about each transaction including any SOP and POP records detailing product or service
descriptions and order quantities.
With PO Entry emails your vendors will also be able to view details of new items that have been ordered as well as any outstanding items still awaiting delivery. In addition to this, amended PO documents can also be issued that recognize alterations to previously emailed items.
Active Documents SOP Acknowledgements allows you to email order confirmations directly to your customers either at the point of entry or as part of the Print Sales Documents routine. Any outstanding balances here can also be aged and displayed accordingly.

Vendor Remittance documents are very similar in setup and design to the Customer Statements options previously detailed. Once again it is possible to fully customize the documents that are to be sent to your vendors and also include a standard email text message to accompany the payment details.
Transaction drill downs feature very heavily again here with further detailed information available by simply clicking on any entry shown within the document. Here it is possible to then view Document Numbers, Discounts and even the quantity, unit description and cost of each individual item ordered.
Another key feature of payables is that all historic payment information maintained within Microsoft Dynamics GP, can also be accessed using Active Documents. Therefore, at any point in time full payment run details can be recalled, reviewed and subsequently emailed to all, or just a single intended recipient from the listing. Active Documents is therefore, ideal for immediately notifying vendors of impending automated payments that are being made directly into their bank accounts, ultimately helping to improve the overall cash allocation process.
